This section outlines more about our working relationship and how we support you in delivering your event whilst at Excel.

Contracted hours

Your licence agreement details the hours you have contracted with the venue. Please ensure that your team, contractors, exhibitors and production company are aware of these licensed hours, as access to the venue will not be available outside these times. If you require any additional hours to your licence agreement, this can be arranged through your account manager.

 

 

Parking

Pre-booked parking, using the online booking platform, is the only way to guarantee parking at the venue, including disabled spaces. Parking costs £25 for a 24-hour period. 

There are 1,650 spaces in the car park under the venue for vehicles under 1.9m (6ft2in) high. Please note there are limited spaces for vehicles between 1.9m (6ft2in) and 2.8m (9ft1in) high.

Health and safety

Non-exclusive, however we have preferred suppliers

Excel works to The Health and Safety at Work Act 1974. The legislation requires safety guidelines to be followed and paperwork to be completed to keep contractors, suppliers and delegates safe whilst they work or visit the venue. If you require further details your event manager can provide a complete list, as these requirements may be different to other countries.

As a member of the AEV, our teams also work to the AEV (Association of Event Venues) eGuide, the industry best practice document for health and safety. The eGuide brings together guidance for achieving common standards of health, safety and operational planning, management and on-site conduct for events at all participating AEV member venues.

The following documentation is required:

  • Public liability insurance certificate
  • A scaled DWG floorplan with detail of the event spaces
  • A risk assessment covering all aspects of your event
  • Plans, risk assessments and method statements of all complex builds for review
  • Structural engineer sign-off for all complex structures and stands over 4m, stages over 599mm and rigging. Your event manager will be able to give you details for Campbell Reith, our approved structural engineer
  • Structural engineer sign-off for all ‘space only’ stands
  • A NEBOSH* or similar qualified floor manager onsite during build-up and breakdown to make sure all contractors are working safely. The floor manager must be independent from the general services contractor that you choose to employ**

Your event manager can guide you through these requirements.

*The National Examination Board in Occupational Safety and Health

**The qualified NEBOSH floor manager and structural engineer will both charge for their services.

 

 

Security

Non-exclusive, however we have preferred suppliers

Our in-house security team is responsible for managing the public areas of the site including the boulevard, car parks and outside spaces.

Organisers are responsible for security specifically for their event and must contract with an event security company prior to the start of the tenancy. Your event manager can recommend security companies with a detailed understanding of the venue.

Your event security team will manage your tenancy areas during build-up and breakdown to ensure that only nominated contractors and exhibitors enter and work in your event space. During the event open time your security team should be deployed to oversee the entrances and event spaces as well as assisting if there is an evacuation.

 

 

 

 

Heating, air conditioning & lighting

There is no additional cost for these services. Temperature is maintained to a standard ambient level during open periods. During build-up and breakdown, the heating and cooling units are not in service.

Fresh air circulation is in line with latest CIBSE (Chartered institution of Building Services Engineers) guidance and recommendations.

Lighting in the halls, gallery meeting rooms, auditorium, and conference areas is set at 50% during build-up and breakdown and 100% during your open period.

All of our electricity supply is drawn from renewable sources.

Porter service & additional furniture

Meeting room furniture (5ft round tables, 6ft trestle tables and conference seating) is provided as part of the tenancy agreement in all the ICC spaces as well as the Platinum Suite, Gallery Rooms and CentrEd†.

The rooms are set up prior to your open day as agreed with the event manager. One overnight reconfiguration of furniture is included in the tenancy agreement along with minor adjustments, resource permitting. For any complete change of configuration during the day or between sessions, a porter service can be arranged with your event manager who will indicate the associated cost.

†Please note that the furniture and porter services for event halls are not included as part of the tenancy agreement

Traffic management

Excel provides a traffic marshalling team as part of your licence agreement. They are responsible for managing the flow of exhibitor and contractor traffic during build-up and breakdown.

The team manages the parking of larger vehicles which is free during build-up and breakdown but charged at the standard rate over night and during the open period. You and your exhibitors should familiarise yourselves with our traffic marshalling guide which your event manager will provide. Please note that the loading and unloading on the lorryways is not permitted between 23.00 and 05.00.

Voyage Control, the industry gold standard pre-event booking system for deliveries to the event floor, is in place at Excel. The system clarifies access and reduces waiting times as well as improving the operational effectiveness, security, and safety. Every vehicle needing access to the venue’s loading bays must be pre-booked on the Excel London Vehicle Booking System. Your event manager will send you the details so your exhibitors and contractors can access the system.
